Customer Service Representative - Hybrid

We are looking for a detail-oriented Customer Service Representative to join our growing team
of 15 in our brand-new Sosnowiec warehouse location. This is a pivotal role acting as the bridge
between our customers, the sales team, and our logistics operations. We are looking for a
proactive team player who thrives in a fast-paced environment.
Your mission will be to ensure the seamless flow of orders from receipt to delivery, maintaining
high levels of accuracy in our SAP system and providing exceptional support to our clients.
Location: Located up to 45 minutes from Sosnowiec- 3 days a week onsite are required.
Your tasks will include:
- Order management, logistics support, and internal reporting:
- Process incoming orders via email, EDI/Doc platforms, and telephone using SAP B1
- Issuing invoices, discount notifications, cancellations, and proforma invoices
- Supporting the Sales Team by checking stock levels, prices, and order statuses
- Collaborating with the Warehouse/Transport Team tracking late parcels, and managing
- stock discrepancies
- Managing incoming mails, answering phone queries, and creating tickets in Zoho Desk
- for technical or sales escalations
- Using OneDrive for reporting and tracking
- Creating daily sales reports and outstanding order lists using SAP and OneDrive;
- maintaining and updating the customer database
- Handling inter-company orders and automated daily invoice distribution
To be a good fit for the Customer Care Representative role you will have:
- Strong working knowledge of SAP Business One (B1) or equivalent ERP system
- Strong working knowledge of Excel
- Proven background in a fast-paced environment
- High attention to detail, self-motivation, and a collaborative "team player" attitude
- Ability to manage a high volume of emails and phone calls efficiently
- Business level of English and Polish
- Customer service background
